| Administration Manager |
Our client is a leading telecommunications company and is looking for a proactive and extremely organised person to join our team. Must be fluent in both Spanish and English, have a head for numbers and an excellent working knowledge of Excel.
Responsibilities
Daily Office Activity
• Inbound and outbound communication: phone, email, letters (record and pass on messages in a timely manner), packages and shipments;
• Translate documents (if needed);
• Organise meetings and communicate to participants;
• Organise travel (research flights, buy tickets);
• Maintain stock of office supplies, refreshments, etc;
• Maintain and communicate the schedules of technicians for on-site installations.
Documentation & Information
• Organise and maintain documentation related with contracts, invoices, marketing;
• Maintain contact list of company stakeholders and partners;
• Research information about suppliers, clients and competitors online, on the phone and in person;
• Communicate and organise correspondence with accountants, lawyers, consultants.
Financial & Analytical
• Record financial accounting journal entries according to predefined format;
• Make payments to providers (utilities, office services, IT providers, etc.);
• Handle cash and operational bank account (prepare payments, report on movements);
• Update pricing and cost information in billing system;
• Manage and account for the stock;
• Prepare end of month invoices and communicate them to customers;
• Maintain up-to-date information regarding client and supplier invoices, payments .
• Prepare ad-hoc analyses related with different operational indicators such as collections, costing, voice traffic, etc.
Representative
• Present briefly but professionally the company’s services to potential clients who inquire on the phone and via email
• Contribute to the development of the advertising campaigns;
Employment conditions
Salary is 1500 – 1700 per month gross.
Full time employment Monday to Friday, working time is 9:00 to 6:00 with one hour lunch break.
For the first 3 months the contract is on a temporary basis. After this period, if the candidate is successful, they will be given a contract ‘indefinido’
